Choosing between n8n and Zapier: 5 questions and 3 real scenarios
Feature tables tell you what each platform can do. They rarely tell you which one fits the workflow you actually have. This guide works from the workflow backwards.

Five questions that usually decide it
1. Who will build and maintain the workflow?
Zapier is designed so a non-technical person can connect two cloud apps quickly. n8n can also be used visually, but custom logic, credentials, and self-hosting reward someone comfortable with APIs. If the builder is a busy operations manager, that matters more than any feature.
2. Does the data need to stay on infrastructure you control?
Zapier runs on Zapier’s cloud. n8n can be self-hosted on a server you control, or used through n8n’s own cloud. If customer records, health data, or internal documents should not pass through a third-party automation cloud, that narrows the choice quickly.
3. How much branching and custom logic is involved?
A linear “when this happens, do that” flow suits either. Once you need several branches, loops over records, custom code, or calls to an in-house database, n8n is usually easier to keep readable.
4. How will volume grow?
Zapier plans include a monthly allowance of tasks: each successful action step uses tasks, while triggers and Zapier’s built-in tools such as Filter and Paths do not. n8n’s cloud and paid self-hosted plans are priced per workflow execution, meaning one full run however many steps it has. The free self-hosted Community Edition has no usage fee, but you pay for the server and for whoever maintains it. Neither is automatically cheaper; estimate your real monthly volume and the maintenance time before deciding.
5. Is AI part of the workflow?
Both platforms have AI features: Zapier offers AI steps inside Zaps and a separate Zapier Agents product, and n8n has an AI Agent node and other AI nodes inside workflows. The difference shows when the AI step needs your own rules, your own knowledge base, or a handoff to a human with context. Those workflows tend to need more control over each step, which is where n8n is often chosen.

A contact form that notifies the team
A website form adds a row to a sheet and emails sales. Low volume, no sensitive data, no branching. Zapier is usually the simpler answer, and moving it to n8n would add work without much benefit.
WhatsApp enquiries qualified by an AI agent
Messages arrive in Arabic and English, an AI step classifies intent, qualified leads are written into a custom CRM, and unclear cases go to a person. This has branches, AI, and a system of record. Internal records that must stay in-house
Invoices or employee data move between an internal database and an approval step. Self-hosted n8n keeps execution on your own server. That requirement alone often decides the platform.
If you are migrating from Zapier
- List every active Zap, its trigger, and who relies on it before touching anything
- Rebuild rather than translate: n8n workflows are structured differently, and a direct copy often carries old workarounds
- Run old and new flows in parallel on test data, then switch one workflow at a time
- Keep Zapier for simple flows that already work if moving them has no clear benefit
