What restaurants should and shouldn’t automate: reservations, group bookings, and allergies
Restaurant teams are busiest exactly when messages arrive. Automation is useful when it takes reservations and repetitive questions off the floor staff, and harmful when it answers an allergy question or a complaint that needs a person.
Where hospitality teams lose time
- The same questions about opening hours, location, parking, and menu items
- Reservation requests arriving on WhatsApp and Instagram during service
- Event and group booking enquiries that need several details before a quote
- Messages that go unanswered because nobody is near the phone
What automation can realistically handle
An agent can answer menu, hours, and location questions from approved information, in Arabic or English. For reservations, it can collect date, time, party size, and contact details, then either confirm through a connected booking system or pass the request to staff to confirm. For events, it can gather the basics — date, number of guests, budget range, any dietary needs — and create a request for the manager.
What should stay with people
- Complaints about food, service, or delivery
- Allergy questions where a wrong answer could cause harm
- Special requests and negotiated event pricing
- Anything involving refunds
Allergy and dietary questions deserve particular care. Unless ingredient information is complete and approved, the agent should route these to staff rather than answer.
Example flow (illustrative): a group booking
- A guest messages on WhatsApp in the evening asking about a birthday dinner for twelve
- The agent answers approved questions about the space and set menus, if any
- It collects the date, time, number of guests, budget range, and any dietary requirements
- It tells the guest the manager will confirm availability and pricing, and when to expect a reply
- The request is created for the manager with a summary of everything collected
- Once the manager confirms, a reminder can be sent before the booking
Within 24 hours of a guest’s last message, businesses can reply normally. After that window, business-initiated messages require an approved WhatsApp template, so a reminder sent days later needs one.
Delivery orders
Many restaurants take delivery orders through third-party apps that have their own support flows. Automation is usually more useful for direct enquiries, reservations, and events than for duplicating what those apps already do.
Start with the website and the channels
For restaurants, the first problem is often the online presence: an unclear menu, no booking path, or a site that does not feel like the venue. Veyrox’s F&B work on this site includes illustrative brand-site demos such as Veyrox Sushi and Veyrox Burgers; these are demos, not real restaurants or clients. See our work and when the first job is a website, not a chatbot.
