What happens during an AI agent build: 7 stages and what you provide

Building an AI agent is less about choosing a model and more about writing down how your business answers, decides, and hands off. Here are the seven stages a build usually follows, and what the business is asked for along the way.

Why local context matters

Customers in Egypt often message in Egyptian Arabic, Franco-Arabic, English, or a mix of all three, usually on WhatsApp. Pricing questions, payment terms, and expectations about reply times are shaped by the local market. An agent built without that context tends to sound foreign or miss what customers are actually asking, which is why several of the stages below involve the business directly.

The stages of a build

1. Discovery

Start with the leak, not the technology. Which messages arrive most often? Where do leads go cold? Who currently replies, and what do they copy and paste? At Veyrox this happens in a free 30-minute audit before any paid build.

2. Scope

Agree what the first agent will and will not do: which channels, which languages, which questions it may answer, which actions it may take, and exactly when it hands off. A narrow first scope ships faster and is easier to trust.

3. Knowledge and rules

Collect approved answers, service descriptions, policies, and the prices that may be shared in a message. Write the rules for tone, escalation, and anything the agent must never promise. This step usually takes the most input from the business.

4. Integrations

Connect the agent to where work is recorded. At Veyrox that usually means a CRM we build in-house for the business, with workflows orchestrated in n8n. The AI agents and CRM guide explains what the agent should read and write.

5. Testing in real language

Test with the phrasing your customers actually use: short voice-note-style messages typed out, Franco-Arabic, spelling mistakes, and questions that combine three topics. Check that it hands off when it should, not only that it answers when it can.

6. Pilot and go-live

Run the agent on a controlled share of conversations, review transcripts with the team, and adjust. Go live fully only once handoffs work as agreed.

7. Maintenance

Prices change, new questions appear, and connected services update. Someone needs to review conversations, update knowledge, and fix integrations. Veyrox handles the setup, deployment, and ongoing maintenance as part of the engagement.

What you provide

  • Discovery: access to the inbox or examples of recent conversations, with personal details removed
  • Scope: one decision-maker who can approve what the agent will and will not do
  • Knowledge: approved answers, service descriptions, policies, and the prices that may be shared
  • Integrations: access to the channels and accounts the agent will connect to
  • Testing and pilot: time from the people who reply today, to review transcripts and flag wrong answers
  • After launch: someone to take over handed-off conversations and to tell the team when prices or policies change

What affects scope and cost

  • Number of channels, such as WhatsApp, Instagram, Messenger, and email
  • Languages and dialects the agent must handle
  • How much the agent should do beyond replying: CRM writes, bookings, follow-ups
  • Whether a custom CRM is part of the build
  • How many approval and handoff rules the business needs

Veyrox does not publish a price list; work is quoted in EGP after the audit. Third-party WhatsApp messaging and provider fees are separate from Veyrox’s project quote. See how pricing works for the payment structure.

Ownership

Ask any developer who will own the agent, the workflows, and the data once it is live. With Veyrox, the client owns what ships. The service itself is described on AI agents and automation services. If you are still clarifying the concept, start with what an AI agent is.

Frequently asked questions

How long does it take to build an AI agent?
Typical first systems at Veyrox go live in two to four weeks after scope is agreed. Builds with several channels, a custom CRM, or other complex parts can take longer, and that is stated in the audit.
Do we need a technical team to run an AI agent?
No. You need someone who can approve answers, prices, and tone, and take over conversations the agent hands off. Veyrox handles the setup, deployment, and ongoing maintenance.
